This Privacy Policy explains how Detail Vault (“we”, “us”) collects, uses, shares and protects your personal information when you use www.detailvault.co.za or buy from us, and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA).

Detail Vault is the responsible party for your personal information. You can contact us at info@detailvault.co.za or 6 Plover Street, Lenasia South, 1829, South Africa.

1. Information We Collect

We collect personal information you give us when you:

• place an order;
• choose to create an account at checkout;
• sign up for our newsletter;
• complete a form on the website; or
• contact us with an enquiry.

This may include your:

• name;
• email address;
• phone number;
• billing and delivery address;
• account login details (if you create an account);
• order history; and
• communication and marketing preferences.

Required information: your name, email address, phone number and delivery address are required at checkout so we can process, deliver and communicate with you about your order. If you do not provide them, we cannot process your order. Creating an account and signing up for marketing are optional.

Payment information: payments are processed by Payfast, a third-party payment gateway. We do not see or store your card details. Payfast handles your payment information under its own privacy policy.

2. Information Collected Automatically

When you visit the website, some information may be collected automatically, such as:

• IP address;
• browser type, device and operating system;
• pages visited and products viewed;
• time and date of your visit;
• the website that referred you; and
• clicks and other interactions with the website.

3. Cookies

Cookies are small files stored on your device. We use:

• Essential cookies, which are needed for the website to work, for example to keep items in your cart, keep you logged in, remember your preferences and keep the website secure.
• Analytics or marketing cookies, if we use them, only where you have agreed to them through our cookie notice.

Our cookie notice is shown when you first visit the website. You can also block or delete cookies in your browser settings. If you block essential cookies, parts of the website, such as the cart, may not work.

We only use your information for these purposes or purposes compatible with them.

5. Marketing and Email Communications

We may send you marketing about our products by email, SMS or similar electronic messages, but only:

• if you have opted in (for example, by signing up to our newsletter in the website footer or ticking a marketing box); or
• if you are an existing customer, about our own similar products, as allowed by POPIA section 69. We give you the chance to say no when we collect your details (for example, at checkout).

Opting out: every marketing message tells you who it is from and gives you a free, simple way to unsubscribe. You can also email info@detailvault.co.za at any time. Once you opt out, we will stop sending you marketing.

Order emails: if you unsubscribe from marketing, we will still send messages about your orders, such as confirmations, delivery updates and responses to your enquiries.

6. Sharing Your Information

We do not sell your personal information.

We share your information only where needed, with service providers who help us run the store, such as:

• our payment gateway (Payfast);
• courier companies, to deliver your orders;
• website hosting and security providers;
• email service providers; and
• analytics providers, if you have agreed to analytics cookies.

These providers may only use your information to provide their services to us, and must keep it secure and confidential.

We may also disclose information where the law requires it, or where needed to protect our legal rights or prevent fraud.

7. Cross-Border Transfers

Some of our service providers, such as website hosting and email providers, may store or process information outside South Africa. When this happens, we only transfer information as POPIA section 72 allows, for example where the recipient is subject to laws, binding rules or a binding agreement that give protection substantially similar to POPIA, or where the transfer is needed to perform our contract with you.

8. How Long We Keep Your Information

We keep personal information only for as long as we need it for the purposes above, or for as long as the law requires. For example:

• order and payment records are kept for as long as tax and other laws require (generally five years);
• account information is kept while your account is open, and then deleted or de-identified unless we need to keep it by law; and
• marketing details are kept until you unsubscribe, after which we keep only what we need to make sure we don’t contact you again.

When we no longer need information, we delete, destroy or de-identify it.

9. Business Transfers

If Detail Vault or its assets are sold or transferred to another business, customer information may be transferred as part of that transaction. The new owner must keep using it in line with POPIA and this policy.

10. How We Protect Your Information

We take reasonable technical and organisational measures to protect your personal information against loss, damage, unauthorised access and unlawful use. However, no website or online transmission is completely secure.

Please keep your account password safe and do not share it with anyone.

Security incidents: if we have reasonable grounds to believe that your personal information has been accessed or acquired by an unauthorised person, we will notify the Information Regulator and you as soon as reasonably possible, as POPIA section 22 requires.

11. Your Rights Under POPIA

You have the right to:

• ask whether we hold personal information about you, and request access to it;
• ask us to correct or update inaccurate information;
• ask us to delete or destroy information we no longer have a right to keep;
• object to the processing of your information on reasonable grounds, and object to direct marketing at any time;
• withdraw your consent at any time, where we rely on consent (this does not affect processing that already took place); and
• lodge a complaint with the Information Regulator.

12. Removing or Changing Your Information

You can ask us to update or delete your personal information at any time by emailing info@detailvault.co.za. We will delete it unless we need to keep it to complete an order or to meet a legal obligation, in which case we will tell you.

13. Account Access

If you created an account, you can view and update some of your details by logging in. Please keep your login details secure.

14. Children

Our website and products are not aimed at children. We do not knowingly collect personal information from children under 18 without the consent of a parent or guardian.

15. Links to Other Websites

Our website may link to other websites. We are not responsible for their privacy practices, so please read their privacy policies.

16. Changes to This Policy

We may update this policy from time to time. The updated version will be posted on this page with a new “Last Updated” date.
